Before the event
The booking includes coordination around access, opening time, booth position and the style menu. The venue should provide supplier instructions and a nearby power point.
For custom creative work, approval and testing happen before event day.
The organiser supplies an accurate venue contact and programme. If a campaign needs approved logos, a custom visual direction or consent wording, those assets need a named approver. Creative development should not become a decision for the host once guests arrive.
Delivery and setup
The team delivers the two-sided oak booth, tall tripod, flash reflector and separate oak printer housing, then tests the capture and output before guests arrive. The smaller front screen sits below the camera for selection and capture; the larger screen on the rear is used to review completed images. Setup and pack-down are included.
Travel is listed separately: R450 in and around Johannesburg, with farther Gauteng venues quoted by distance.
A host throughout the session
The host explains the style choices, helps guests face the camera, manages the queue and handles print collection. The organiser does not need to assign a staff member to operate the booth.
The host is not a replacement for the venue manager, event producer or brand approver. Give them a clear contact for schedule changes, access problems and guest questions outside normal operation.
Guest sessions during the booked time
Guests participate during the booked operating window. AI Booth does not publish a per-shot credit price or an untested universal sessions-per-hour figure.
Actual participation depends on guest flow and the programme, so choose the package length with the event schedule in mind.
Portrait styles
Every event has an agreed selection of AI portrait directions. A custom style developed specifically for a campaign or theme starts at R750.
The final scope depends on the brief. Testing should consider different faces, skin tones, hair, glasses and clothing. Campaign work also needs a clear approval route. No fixed revision allowance or development lead time is promised here; those details belong in the quote.
Print and digital delivery
Standard bookings include instant portrait-format 4 x 6 inch prints and digital delivery. The method, gallery access, retention period and any specialised print requirement are confirmed for the event. See instant prints versus digital delivery for the role each plays.
Accessibility and venue planning
The booth uses an open tripod arrangement rather than asking guests to enter an enclosure or step onto a platform. Keep the approach and queue clear, allow room for the planned audience and ask the venue to review wheelchair turning or seating requirements. Exact space, cable and power needs are confirmed against the venue plan.
What the quote should settle
Confirm operating times, access, travel, custom creative scope, print and digital delivery, privacy responsibilities and commercial terms. Deposit, VAT, postponement, cancellation, insurance and backup procedures belong in the current quote or contract where applicable; this article does not invent them.

This is not a menu of compulsory add-ons. A private event may need nothing beyond its selected package and travel, while a public activation may require creative development and a separate privacy or reporting workstream. Each extra should be named and explained.

What is not safe to assume
Do not infer a fixed number of sessions, prints or guests from package duration. Live output changes with the programme and guest choices. Do not assume a public gallery, permanent storage, a particular deletion period or unrestricted image use. Digital delivery and privacy details are confirmed for the booking.
Commercial and risk terms must come from current documents. VAT, deposits, postponement, cancellation, venue insurance requirements and contingency procedures are not represented by a blog summary.
